Certified LLC Documents: Copies, Status and Apostilles
Certified LLC documents are copies of filed records that the issuing authority certifies as true copies of its records. A certified copy of articles is different from a certificate of good standing, which addresses entity status. An apostille serves another purpose: authentication for qualifying international use.

Before ordering, ask the recipient to identify the exact document, certification, age and delivery format it accepts. That short conversation can prevent paying for the wrong certificate.
Certified LLC documents: choose the right type
| Requested item | What it generally establishes |
|---|---|
| Ordinary filed copy | Contents of a filed document without additional certification |
| Certified copy | Issuing office certifies the copy of the filed record |
| Good-standing or status certificate | Specified current entity status under state rules |
| Apostille or authentication | Verifies the relevant official signature or seal for the applicable use |
The Florida certified-copy instructions distinguish a filed-document copy order from other certification services. Names and procedures differ across states, so use the issuing state's actual service.
Identify the record before paying
Search the official entity history and note the exact legal name, entity number, document type and filing date. A company with several amendments may need the original articles plus specified amendments, or another document the recipient explicitly requests.
Do not assume “company certificate” means the original formation filing. A bank may be asking for current status, while a foreign authority may want certified articles and an apostille. Our formation-document comparison helps clarify the terminology.
Place the order with the proper authority
Follow the state agency's online or written process. State fees may depend on the number of pages, document type, certification and delivery method. Optional expedited handling is separate from international courier delivery.
Keep the order reference and check the issued document against the requested entity. Do not alter the seal, certification text or attached pages. If something is wrong, ask the issuing office to correct it.
Check international requirements in advance
An apostille is not automatically needed for every overseas bank or authority. The destination, document type and recipient's rules determine the appropriate authentication path.
Use the LLC apostille guide before ordering. Ask whether translation is required, who may translate and whether the recipient accepts electronic documents or needs originals. Certification alone does not prove that a document satisfies a foreign institution's requirements.
Understand what certification does not prove
A certified copy of formation articles does not by itself prove current good standing, current ownership or the truth of every underlying business representation. It certifies the copy in the manner described by the issuing authority.
Likewise, a status certificate is not a guarantee that the business has no debt, litigation or tax exposure. Read the good-standing guide if that is the document requested.
Keep a reusable ordering record
Save the recipient's requirements, order confirmation and issued file in the company archive. Note any freshness requirement so you do not reuse an outdated certificate for a later application.
Contact PrimeRegister to ask whether document-ordering assistance is available for your state and purpose. Confirm the scope, government charges and delivery costs before placing the order.
If you are ordering a new company formation rather than documents for an existing LLC, review our LLC formation gig on Fiverr (IncorpoDesk). Ask which delivered records are included; certified copies and apostilles should be confirmed separately.
